Receipt capture is usually the first candidate. Documents arrive scanned, photographed or by email, AI text recognition reads them, pre-codes them and hands them over to DATEV, BMD or RZL. Instead of two to five minutes per document, roughly 20 to 40 seconds of checking remain. Beyond that, client onboarding, deadline reminders and fee billing are common cases, along with sorting the shared inbox so that routine enquiries get a prepared draft and only genuine exceptions reach a person. What does not suit automation is anything that needs an individual professional judgement each time.
The technical setup for a first workflow is typically done within 24 hours: defining the input channels, building the workflow, adapting the text recognition to your chart of accounts, setting the checking rules and verifying the DATEV, BMD or RZL connection with real test documents from two or three clients. What takes longer in practice is agreeing the edge cases, meaning what should happen when a receipt is unreadable or a booking is ambiguous. More complex practice systems are built in one to two weeks. After go-live we stay involved for 30 to 60 days, so unusual cases surface while someone is still watching.

Yes. All systems and databases run on servers inside the EU, and no data is transferred to third countries outside the EU and the EEA. A data processing agreement can be concluded for the components in use, and sensitive data is processed for its stated purpose only. Before a project starts we go through where exactly receipt data and client information are processed and which component gets to see what. Under the EU AI Act the systems in use generally fall into the limited risk category; where AI generated content has to be labelled, that is implemented transparently.
